Self-Service Advising and Waitlist Feedback

This document contains feedback from several sources including the information collected by Drew Lentz when he was Interim Registrar in November 2021 to feedback from our Self-Service pilot to meetings with departments during Winter and Spring 2022 terms. Feedback both on use of Self-Service for advising and for wait list are listed along with the date reported and the current status. If you would like to add issues to this list, please email them to helpdesk@union.edu. Specific examples that will help us recreate the issue would be greatly appreciated.

The student search feature seems to only return useful results if I type in exactly the student's first and last name. May 2021 Need someone to retest this and email helpdesk@union.edu if this is still not working

Cleared to Register

Review Requested

The main list of student advisees has half-checked items in a column labelled "Review requested". Clicking on the column or checkmark does not open the indicated review. February 2022 These are the students that have requested a review. Click on "View Details", look over their plan, then if approved, choose "Email student & archive plan"
The concept of review is unclear. A faculty member can easily lose 20 minutes per student by opening the student's record and opening and closing the items therein. If they wish a review for a specific term, that should be stated, or if they want a general look at their entire program, that could also be stated. Nowhere is it clear why the student doesn't simply send an email explaining in a complete well-formed sentence their needs. February 2022 Is there a need for better documentation?
Perpetual Notifications - you have one or more advisees that have requested reviews…how does that get turned off? February 2022 You must Archive the Plan in order to get rid of notification.
Reviewing Advisees Plans - not obvious that anything happened. February 2022 Need to work with the Registrar's Office to resolve this.

A pop-up says: "One or more students have requested a review". The message does not link to the list of these students or indicate where it is. February 2022 In the Advising Overview screen: The Review Requested column has a Blue backward check mark in it.
Frequently, the upcoming term about which a review should occur does not exist on the student's progress line for reasons unknown to both the student and faculty member. February 2022 ITS will need a current example to help troubleshoot this issue. If you have one, please email helpdesk@union.edu with the example.

Rosters

The track requirements/progress for bioscience/cognitive tracks do not accurately reflect the requirements (not sure about computational since I don't know it very well). This is something we need to fix because the rules were written based on how the catalog was written. It seems clear to us but doesn't translate well to the checklist. A student took a core CS class P/F in the spring (Covid related). This doesn't show up as having been taken in the system May 2021 Need to discuss with the Registrar's Office

In both the catalog and program tabs, the course information must include petition Y/N as well as common curriculum status. Otherwise we're still bouncing back and forth between webapps. The progress tab is effectively useless, and probably doing harm, because we can't manually move things around. Until we can do this, the registrar will be flooded with requests from concerned students. May 2021 This was not available in WebAdvising either. Is there ANY way to see the four-year schedule on one page - so that it looks like our course planning sheet that we have used for years. Where we see each year on a line and each term in a box on that line? A sort of "at a glance" version. Right now it seems that it is a linear timeline and so I am going back and forth to see what was taken when. and wouldn't it be nice if we could annotate those - my one page had the "progress" embedded in each line - if it was being counted as a WAC, or HUL, etc.] May 2021 Still investigating.

System Performance

Some faculty found the self-service interface unfriendly (for example, an inability to see all advisees continuously or release advisor holds on students at the same time) November 2021 You should be able to see all advisees. Will need to submit request to vendor regarding releasing advisor holds on all students at the same time.
There appears to be a lag between when students add things to their plan/timeline and when we can see it.This makes advising in real-time challenging. Is this normal? May 2021 This may be related to the caching issues we have been investigating.
I find there's times with significant lag - like loading more advisees, or using the search to find specific advisees. Will this get worse when more people are using the system? May 2021 Some system configurations were updated in early September 2022. Need feedback from users.
How do I add classes (for planning purposes) to Fall term (and beyond) so I can develop a plan for a student? I can easily add a fall term in timeline, but I cannot figure out any way to add anything (any classes) to that term. May 2021 You can search for a course in the course catalog or the student's Progress. Click 'Add course to plan'. You will select the term the student should take the course.

There is a difference in planning a section and planning a course. You can only plan a section if the term is available for the current or next registration period.
The scrolling is infinitely annoying. This app seems to have been designed on a BIG monitor - most of us and our students are working on laptops. We cannot make the window wide enough to allow things to be on one or two lines, so it gives us more like 15 lines. May 2021 Need to submit request to vendor.
Bad user interface - cant see what students have for courses; Planning page is hard to read April 2022 Need to submit request to vendor.
Main landing post "Daily work" is a poor descriptor - a faculty member who visits Self-service daily is likely wasting time that can be spend preparing classes. February 2022 Need to submit request to vendor.
Self-service is the same name yet serves very different functions to students, faculty and parents. Faculty who are also parents have to hunt in circles to find how to make visible the financial aid items relevant to their own child at the school. February 2022 Will work on documentation to help with wayfinding.
Miss the simplicity of WebAdvising - seeing lists of students, gen ed requirements April 2022 Same fields available in Self Service as in WebAdvising, just on different screens.

Faculty and Students find the term "waitlist" very confusing. Students who don’t get a position on the waitlist are then put on a different waitlist in case not all the students use their spots? For multi-section courses and labs it would be helpful to allow students to request a seat in more than one section November 2021 Need to discuss with the Registrar's Office
We had to survey students requesting a seat in order to get all information necessary to make a decision. It would be helpful to give students the ability to comment (e.g. student taking MCAT, term abroad). Not all info necessary can be programmed into the algorithm. Told some priorities could not be programmed such as whether the student required a particular course as a cognate for their major or minor or whether the student as a health professions student. November 2021 Ability to capture student comments not available in Self Service Waitlist functionality.
It would be helpful if students were able to accept their position on the waitlist (as we did with petitions) right away, so that we know if some are going to go unused before students register. The students really ought to be able to request a seat at the beginning of the advising period. I think it would be helpful if the timetable for students to request and faculty to approve had some overlap. This would allow students to decline those requests they no longer needed and other students to move up the waitlist and be approved. This shuffle happens but it takes a ridiculous amount of time and emails. February 2022 Need to discuss with the Registrar's Office
We might want to re-envision this process that is a legacy of the old paper card system. Instead of having students just ask for a spot in the course and get a yes/no answer, they could be directed to fill out an online survey that could gather richer information. Maybe the Y on webapps could link to such a survey. It could ask students which sections work for them and about why they need particular courses. The Waitlisting process seems to be even more confusing. Last week I received a dozen panicked emails from students who thought they had waitlisted for a course because they had added it to their winter course plan (but did not take the additional step of clicking the Waitlist button).
